2023 Form W-2s will be available beginning Monday, January 15. Employees who consented to receive their tax documents electronically will find the documents on iPeople and will not receive paper copies. Paper versions of the forms are scheduled to be printed and distributed the week of January 15.

Employers must report employer and employee Health Savings Account (HSA) contributions made through payroll in sum on the employee’s Form W-2, Box 12, Code W. Employees who have an amount reported in Box 12, Code W should complete IRS Form 8889 Health Savings Accounts.

Employees may notice the amounts on their pay advice are different from the amounts on their Form W-2. Use this W-2 reconciliation template and refer to W-2 box descriptions to understand why amounts are different and how federal and state taxable wages differ from Social Security and Medicare wages.

Accessing electronic Form W-2s

If an employee has not received their 2023 Form W-2 in the mail by February 1, and cannot access an electronic copy, the employee should submit a W-2 Replacement Request Form to the Payroll Office. The Payroll Office will begin processing requests on February 15, 2024.
