On Monday, August 5, 2024, starting at 8 a.m., Event Management, Dining, and Hospitality (EMDH), Event Services and Catering Office will begin accepting room bookings from Registered Student Organizations (RSOs) wanting to host events and meetings during the fall semester at the Bone Student Center (BSC).
Before students book a space, they must ensure that the RSO is actively registered on campus. This can be done at the Student Involvement Center, located on the second floor of the BSC. After that, the RSO president must fill out the booking privileges form for the academic school year. There they have the option to authorize up to three RSO members to book spaces. More details about the booking process can be found on the events office website.
To request an event booking, any member listed on the booking privileges form can fill out the room request form online, call 309-438-2222, or visit the Event Services and Catering Office in person located in the BSC, second floor, room 206. Room reservations are on a first-come, first-served basis.
Upon submitting a request, a planner will contact the student to discuss event details and send an agreement. Planning events as an RSO member is a valuable opportunity for students to gain experience in event planning and hosting.
New guidelines for meetings and practices
All RSOs are allowed to book a room at the BSC at no cost, with only a few exceptions. Chloe Lindbom, event planner for EMDH, stated that there have been small changes to the reservation process for RSOs this year, particularly for practices and meetings.
As general guidelines, practices can be booked twice a week, but not consecutively, and one weekly meeting, with each session lasting a maximum of two hours. There are now specific time slots and rooms available for booking meetings and practices on weekdays. On Saturdays and Sundays, RSOs can book rooms as needed. Additionally, all events must conclude 30 minutes before the building closes. All RSO booking updates can be found in the 2024-2025 RSO memo.
The booking period is ongoing; however, RSOs will need to wait until December 2, when the Event Services and Catering Office begins the room booking process for spring and summer 2025. “Booking for fall 2024 starts on August 5, at 8 a.m. After that, booking for spring 2025 will open up on December 2, 2024, at 8 a.m., and we will not be taking any reservations for spring 2025 until then,” said Lindbom.
